These Terms and Conditions govern your use of our website and, together with any engagement letter or Client Care Letter we issue to you, the basis on which we provide legal services. By instructing Aziz Sinclair Solicitors or using our website, you agree to these terms. Please read them carefully and retain a copy for your records.
1. About Us
Aziz Sinclair Solicitors is a firm of solicitors authorised and regulated by the Solicitors Regulation Authority (SRA) under SRA number 8010819. We provide legal services in, among other areas, immigration, family, wills and probate, landlord and tenant, criminal law, and related civil matters. 2. Scope of Work
The specific work we will undertake for you, and any limitations or exclusions, will be set out in a written Client Care Letter and/or Terms of Business sent to you at the outset of your matter. That document will also identify the person responsible for your case and any supervising solicitor. We will act in your best interests, subject to our duties to the court and to our regulatory obligations, and we will keep you reasonably informed about progress and about any material developments that affect your matter.
3. Fees and Payment
3.1 Our fees for legal services will usually be on a fixed‑fee or agreed‑fee basis, or in some cases by reference to hourly rates, as set out in your Client Care Letter. We will provide information about our likely overall costs and will update you if our estimate changes.
3.2 We may require a payment on account of our fees and/or anticipated disbursements before commencing work and at appropriate stages thereafter. Monies held on account will be applied to invoices raised during the course of the matter.
3.3 Unless otherwise agreed in writing, invoices are payable within 14 days of the invoice date. We reserve the right to charge interest on unpaid invoices at the applicable statutory rate and/or in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.
3.4 You are responsible for payment of disbursements (such as court fees, expert fees, interpreters, search fees and similar third‑party costs). We will normally seek your authority before incurring significant disbursements on your behalf.
3.5 Details of our current fee scales and pricing information are available on request and may be published on our website.
4. Confidentiality and Data Protection
4.1 We owe you a duty of confidentiality in respect of information you provide to us. We will not disclose such information to third parties without your consent, except where disclosure is required or permitted by law, by our regulators, or is necessary to protect your vital interests or those of others.
4.2 We will process your personal data in accordance with applicable data protection laws and our Privacy Notice, which explains how and why we collect, use, store, and share personal information and sets out your rights as a data subject. Our Privacy Notice is available on request and on our website.
5. Your Responsibilities
To enable us to act effectively and in accordance with our regulatory obligations, you agree to:
- Provide accurate, complete, and timely instructions and information.
- Inform us promptly of any changes in your circumstances that may be relevant to your matter.
- Respond to our communications within a reasonable time.
- Pay our fees and disbursements in accordance with these Terms and your Client Care Letter.
If you do not fulfil these responsibilities, we may be unable to continue to act for you and/or the outcome of your matter may be adversely affected.
6. Limitation of Liability
6.1 Our liability to you for any loss or damage (whether in contract, tort, negligence or otherwise) arising out of or in connection with the legal services we provide is limited to the level of our professional indemnity insurance, details of which will be provided in your Client Care Letter and are available on request.
6.2 We will not be liable for:
- Losses caused by the acts or omissions of third parties, including counsel, experts, or other professionals instructed on your behalf.
- Any indirect or consequential losses, or loss of profit, opportunity, or goodwill.
6.3 Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or to the extent that such exclusion or limitation is not permitted by law.
7. Termination of Instructions
7.1 You may terminate your instructions to us at any time by giving us notice in writing.
7.2 We may decide to cease acting for you where there is a good reason to do so, for example where a conflict of interest arises, you fail to provide instructions, you do not pay our invoices or monies on account when due, or where continuing to act would be inconsistent with our legal or regulatory duties. We will give you reasonable notice where possible and will explain our reasons in writing.
7.3 On termination, you will be responsible for our fees and disbursements incurred up to the date your instructions end, together with any costs associated with transferring your matter to another adviser. We may be entitled to retain your papers and documents until outstanding sums are paid.
8. Intellectual Property
Unless otherwise agreed in writing, copyright and all other intellectual property rights in documents, precedents, letters, and other materials created by us in the course of providing services will belong to Aziz Sinclair Solicitors. You are granted a non‑exclusive licence to use such materials for the purpose for which they were supplied, but you may not reproduce, adapt, or distribute them for other purposes without our prior written consent.
9. Use of Our Website
9.1 Our website is provided for general information only and does not constitute legal advice. You should not rely on website content as a substitute for obtaining specific legal advice on your particular circumstances.
9.2 You agree not to use the website for any unlawful, improper, or harmful purpose, and not to introduce viruses or other technically harmful material. We do not guarantee that the site will always be available or free from errors or omissions.

10. Complaints
We are committed to providing a high‑quality service. If you are dissatisfied with any aspect of our service or our charges, you should raise your concerns initially with the person handling your matter, or with the supervising partner named in your Client Care Letter.
We have a written complaints procedure and will provide a copy on request and at the outset of your matter. If we are unable to resolve your complaint, you may have the right to refer it to the Legal Ombudsman within the applicable time limits. 11. Governing Law and Jurisdiction
These Terms and any dispute or claim arising out of or in connection with them or with our services are governed by and shall be construed in accordance with the laws of England and Wales. The courts of England and Wales will have exclusive jurisdiction in relation to any such dispute or claim, subject to any mandatory rights you may have as a consumer.
